Faculty assignment

Assign lecturers and course coordinators to each course class, let faculty review their load, and track it across the year.

Faculty assignment records who teaches each course class in a term and who coordinates the course. It can be filled by hand, by Excel, or proposed by the AI allocation step and then adjusted.

Assign lecturers to a class

  1. Select the academic year and semester.
  2. Find the course class and click Assign.
  3. Add one or more lecturers. For team teaching, enter each lecturer's share of the sessions or credits.
  4. Tick Coordinator on the lecturer responsible for the course across all its classes.
  5. Save. The lecturer's dashboard and Teaching console update immediately.

Review by faculty

Faculty open Review by faculty to see their own assignments for the term, with credits and session counts. They cannot edit, but can flag problems to their program office.

Yearly review

Yearly review shows every lecturer's total load across both semesters of an academic year, with a drill-down to classes. Use it to spot lecturers below the institution's minimum or above its cap before the term is published.

Courses taught by external lecturers

Courses delivered by lecturers from outside the faculty (for example university-wide general courses) are still scheduled but excluded from internal load checks and from AI allocation candidates. Mark them in Teaching Candidates in the AI scheduling module.

Exports

Faculty allocation and assignment workbooks are exported from Term Overview in the AI scheduling module, grouped by expertise group for department review.

Rules the AI allocation follows

When you let the AI scheduling module propose the allocation, it follows this order of principles, which you can adjust in Scheduling constraints:

  1. Every class gets at least a coordinator, so no class is left without a responsible lecturer.
  2. Team teaching is the normal pattern where the course has several classes.
  3. Yearly load caps are soft and reported as overages rather than blocking.
  4. Level (undergraduate, graduate) and campus boundaries are hard and never crossed.
